Jeff Carbonella, Tony Cappaert, and Zvi Band launched Contactually in 2011. They purposely opted to be a more real estate-focused CRM company.

This is why Contactually offers automation and various other features to help improve your real estate business. They consider building, maintaining, managing, and maximizing client relationships to be the priority.

Eight years after its founders first put it up, Compass, a real estate brokerage, bought Contactually. The acquisition took effect on February 25, 2019.

Contactually CRM Features

Contactually has a lot to offer. It has more than its share of features that are helpful to real estate professionals.

Here are the main features of Contactually:

If these work for you, it may indicate that this is the software you should consider. If you’re not sure, let’s get into the details of each feature. 

Combine your contacts list

It’s common to have a different set of contacts in your email, phone, or social media account. Sometimes your attention is pulled towards the platform you prefer using. And along with that is the amount of focus you give to people connected to that platform. 

With all of your contacts in one centralized list, it levels out the playing field. Plus, it’ll be easier to manage since you only need to access a single platform.

Organize using buckets

Contactually allows you to categorize your contacts into buckets. It helps you determine which ones you need to reach out to first. You can also classify your contact list based on the type of relationship you want to foster with them.

To help with that, Contactually provides you with a couple of default tags you can use, such as New Buyer Leads, Close Seller Clients, and Vendors. But you can also customize it by creating buckets with your preferred names.

Create multiple communication programs

What’s more, Contactually lets you set up a multi-step communication program for each bucket. It’s where the heart of your CRM’s customization takes place. 

In Contactually’s communication programs, you can determine when you send messages out. You automatically send these messages the moment you assign a contact to a bucket. It’ll follow the schedule you’ve set up — all you need to do is monitor the responses you receive.

Increase engagement through gamification

No matter how easy to use your CRM is, the daily repetitiveness of your activities may begin to appear tedious if you’ve been using it for a while. 

One method to get around this is using gamification to increase or maintain engagement levels. It plays on people’s natural competitive nature and preference to win.

Contactually applies this to their CRM in a variety of ways.

You can measure your follow-up progress

Each time you view your dashboard, Contactually shows the number of system-generated follow-ups you complete through your programs. You’ll see a progress bar indicating your follow-up goal and a graph representing your daily contact trends.

The platform also allows you to adjust your goals to make the experience more personalized.

You can play the Bucket Game

The platform offers a fast and fun way to categorize all your contacts into buckets to take away the mundaneness. Enter Contactually’s Bucket Game. The site incorporates a timer that turns into a race.

You can even tweet the time it took you to classify 50 contacts and see how you progressed each time you played.

Contactually CRM Drawbacks

Before you make up your mind, it’s best to pay attention to some drawbacks you may encounter with Contactually.

Here are some of them:

  • No new free trials
  • Limited customer-facing opportunities
  • Limited marketing materials

No new free trials

Although you will have to pay eventually, a free trial is always a great help when you’re in the process of figuring out whether a platform fits your workflow or not. 

Previously, Contactually offered a 14-day trial. Though their site still states that the first two weeks are on them, they’ve grayed out the free trial button. Based on what Contactually’s website shows, new free trials are currently unavailable.

Limited Customer-Facing Opportunities

Contactually has never claimed to be anything else aside from a CRM-focused platform. This strategic move provided users multiple advantages, which is why they gained popularity early on. 

Today, however, some real estate agents don’t want the hassle of using a variety of platforms – this is an area where Contactually falls a bit short.

If you’re looking for a CRM that offers consumer-facing products like allowing you to build your website or create listing alerts, you may find Contactually’s features lacking. 

If you opt for their platform, you’ll have to invest in a separate provider to get your website up and running.

Limited Marketing Materials

The operative word is limited. Contactually gives you access to a template containing email and text messages. Even if you go with their most affordable subscription, they’ll make it available to you.

If you’re looking for more robust marketing materials, though, such as ready-made flyers or drip campaigns, you may want to explore other alternatives.

Contactually offers two subscription plans. Compared to other CRMs, you may find their prices leaning towards the higher end of the spectrum.
